This policy explains how we handle personal data regarding our customers, business partners, and website visitors.

What information we collect and why

• When you are a customer or partner (B2B): In connection with our business relationship, we collect standard professional contact information, including: Name, Title, Workplace, Work Email, and Work Phone Number. We use this data to deliver our services, manage our business relationship, and issue invoices. (Legal basis: Contract and Legitimate Interest).
• When you visit our website: When you visit our website, our hosting provider (Simply.com) automatically logs your IP address for security purposes to protect the site against attacks and errors. If you fill out a contact form, we also collect your name, email, and the content of your message to respond to your inquiry. We also use cookies to make the site function properly and (if you consent) to collect statistics. (Legal basis: Legitimate Interest and Consent).

Security and who we share your data with

Your data is treated confidentially. We protect your data with appropriate technical and organizational security measures, such as access control and two-factor authentication (2FA). We only share data with our trusted IT suppliers (Data Processors) with whom we have entered into legally binding Data Processing Agreements. This includes:

• Google Workspace: For storing internal data and emails. As Google is a US-based company, data may technically be transferred to servers in the US. This is done legally and securely under the approved “EU-US Data Privacy Framework”.
• Dinero: For invoicing and accounting.
• Simply.com: For hosting our website.

Retention period

We retain your contact information for as long as we have an active business relationship. Invoices, accounting material, and related correspondence are kept for 5 years from the end of the relevant financial year to comply with the Danish Bookkeeping Act.

Server logs at our web host (IP addresses) are automatically deleted on a rolling basis (typically after 30 days). Inquiries via the website are deleted once they have been fully processed.

Your rights and right to complain

You have the right at any time to be informed of what data we process about you, as well as the right to request correction, deletion, or transfer of your data (data portability). You can also withdraw any cookie consent at any time. If you wish to exercise these rights, please contact us at the email address provided in section 1.
